# Introduction

MijnEvent ("we", "us") values the protection of your personal data. This privacy policy explains what data we collect, why we collect it, and what your rights are.

# What data do we collect?

## Account data

Name and email address when registering as an organizer or visitor.

## Payment data

Payments are processed via Mollie. We do not store credit card numbers or bank details. We do store Mollie transaction IDs for administration.

## Event data

Information about events you create or attend, including ticket purchases and check-in data.

## Technical data

IP address, browser type and device information for security (trusted devices) and improving our service.

## Rentals and parking

If you rent something or book a parking or camping pitch, we keep your booking, the pick-up and return moment and — if a vehicle is involved — the licence plate. That plate also appears on your digital booking pass, so you are recognised at the barrier. If you pay a security deposit, we record the amount, the payment and the refund, and if part of it is withheld, the reason for that too. We do not ask for an identity document, driving licence, date of birth or bank account number.

## Membership data

If you are a member of an organisation, we keep your membership number, the term and the payment status of your fee, and the moment you accepted the membership terms plus which version that was. Your mandate and bank account number are held solely at Mollie; we record no IBAN. Every member email contains a cancellation link that works without signing in: you first see what cancelling means and then confirm it yourself on that page.

## Attendance at courses

If you take a course or lesson series, the organiser records per lesson whether you were present, absent or excused, with the timestamp and whether that was ticked manually or done by a scan. There is nothing beyond those three statuses: there is no remarks field about you, and we do not ask for a date of birth or for data about your health, allergies or a disability.

## Feedback survey (evaluation afterwards)

Afterwards, the organiser may invite you to look back on the event. That invitation may contain one attachment added by the organiser, for example a programme or a report; we send it along as a file. Your answers are anonymous: there is no technical link between your invitation and your answers, and your email address is never shown to the organiser. The mailing list disappears at the latest thirty days after the survey closes; the anonymous answers after twenty-four months.

## Safety and emergency notifications

If the organiser uses the safety module, your ticket scan counts towards the crowding and capacity picture of that event. If they run a closed venue, your exit and re-entry scans are recorded as well. What the organiser, the municipality or the emergency services get to see are numbers only — you are not visible in them. During an actual evacuation the organiser can send an emergency message to your email address and, if you keep your ticket in your wallet, straight to that ticket pass so it appears on your lock screen. This is only possible during an active evacuation, at most twice, and is followed by an all-clear notice.

# Why do we collect this data?

- To provide our service (ticket sales, check-in, account management)
- To process payments via Mollie
- To secure your account (magic links, OTP, trusted devices)
- To run the modules the organiser has switched on (rentals and parking, memberships, courses, feedback surveys)
- To safeguard safety at an event and to be able to reach you in an emergency
- To comply with legal obligations (accounting, tax)
- To improve our service (anonymized statistics)

# Do we share your data?

We only share your data with:

- Mollie — for processing payments
- The organizer of the event for which you purchase tickets (name, email)
- Apple and Google — only when you add a ticket, booking or membership card to the wallet on your phone, and to deliver an emergency message to that pass
- The municipality, police or emergency services — aggregated visitor numbers only, never data about you personally
- Government authorities — only when legally required

We never sell personal data to third parties.

# How long do we retain your data?

Account data is retained as long as your account is active. Transaction data is retained for 7 years in accordance with tax legislation. Fixed terms apply to a feedback survey: the mailing list disappears at the latest thirty days after it closes, the anonymous answers after twenty-four months. Data belonging to a booking, a membership or a course is kept by the organiser for as long as it is needed for their administration. You can request deletion of your account, or of your data held by an organiser, at any time; we assist that organiser in doing so.

You have the right to:

- Request access to your personal data
- Request correction or deletion of your data
- Object to processing of your data
- Transfer your data (data portability)
- File a complaint with the Dutch Data Protection Authority

# Cookies

MijnEvent only uses strictly necessary cookies for session management and security (CSRF token, session cookie, trusted device token). We do not use tracking cookies or third-party cookies.

# Statistics &amp; analytics

To improve our website and service we use [ClearAnalytics.eu](https://clearanalytics.eu/?utm_source=mijnevent&utm_medium=referral&utm_campaign=privacy), a privacy-friendly analytics service hosted entirely in the EU. ClearAnalytics works without cookies, collects no personal data and uses no cross-site tracking or advertising profiles.

Only anonymized, aggregated statistics are recorded (such as page views and referral source) that can never be traced back to an individual visitor. ClearAnalytics is fully GDPR-compliant, which is why we don't need a cookie banner for statistics.

# Security

We take appropriate technical and organizational measures to protect your data, including encryption of sensitive data, HTTPS connections, and regular security audits.

# The MijnEvent app (iOS and Android)

Organizers and door staff can use the MijnEvent app: scan tickets at the entrance, check in guests, sell tickets at the door and keep a live overview of your event. This privacy policy fully applies to the app; below you can read what happens specifically on the device.

## Sign-in and session

You sign in with your email address and a one-time login code; organizers may additionally use an authenticator code. The app stores no passwords; your login session is kept locally on your device only.

## Offline mode and guest list

For check-in without an internet connection, the app can download a local copy of the guest list per event (name, ticket type, validity and check-in status). That copy stays on the door staff member's device, is synchronized exclusively with the organizer's MijnEvent environment and is deleted as soon as you remove the downloaded list or the app.

## Camera

The camera is used solely to scan QR codes. No photos or videos are stored or transmitted.

## No tracking or location

The app contains no advertising or tracking SDKs and collects no location data. The scan location (for example "Entrance A") is a manually chosen label used for reporting.

## Box office (door sales)

Payments for door sales are handled outside the app, by card or cash. The app does not process or store any payment data.
